Coaching, Consulting & Leadership Development Terms of Engagement

1. Scope of Services

These Terms and Conditions apply to all executive coaching, leadership development, and team coaching consulting services delivered by Dr Glenis Wade (“Glenis”) to any individual or organisation (“the client”).

Services may include:

  • Executive coaching
  • Senior Leadership Team Collaboration Coaching
  • Leadership development consultancy
  • OD consultancy
  • Instructional design
  • Group process facilitation
  • Leadership development
  • Speaking and learning interventions
  • AI-enabled visual storytelling
  • Any additional services will be agreed in writing.

2. Programme Structure

A coaching programme typically includes:

  • agreed number of 1:1 sessions
  • agreed number of team sessions (if applicable)
  • one anchoring reflective psychographic tool (unless otherwise specified)
  • optional midpoint alignment with the commissioning leader
  • a final integration session

One session length is normally 90–120 minutes unless otherwise agreed.

3. Payment Terms

Unless otherwise agreed in writing, fees are payable 50% at programme commencement and 50% upon completion of the final session.

Fees and payment arrangements will be agreed in writing before the commencement of an engagement and set out in the relevant proposal, quotation, statement of work or client agreement.

Unless otherwise agreed, invoices are payable within 14 days of issue.

Where an organisation commissions services on behalf of an individual participant, the organisation shall be regarded as the contracting client.

4. Cancellations & Rescheduling

Sessions may be rescheduled with 48 hours’ notice.

  • Sessions cancelled with less than 48 hours’ notice are chargeable.
  • One reschedule per programme is free; further changes may incur a £40 administration fee
  • Once a programme has commenced, no refunds are provided.

If the client repeatedly reschedules or pauses the programme, Glenis reserves the right to set a revised completion date or close the programme.

5. Team Coaching & Workshops

Team sessions require 7 days’ notice to reschedule.

  • Cancellations within 7 days are chargeable at 100% of the session fee.
  • If a team session is postponed by the organisation, Glenis will offer the next available date.

6. Confidentiality

All coaching, consultancy, facilitation and leadership development conversations will be treated as confidential and handled with professionalism and care.

Team coaching confidentiality will be agreed collectively at the start of the engagement.

Supervision

Information shared during coaching, consultancy, facilitation and leadership development engagements will be treated as confidential and handled with care and professionalism. To support good practice and maintain professional standards, I may discuss elements of my work with appropriately qualified supervisors, mentors or professional advisers n accordance with relevant professional and ethical codes, including the EMCC Global Code of Ethics, and applicable legal obligations.  Such discussions will be conducted with due regard for client confidentiality.

Knowledge Sharing

As part of my commitment to professional learning, scholarship and the advancement of practice, I may draw on anonymised themes, methods, approaches and learning arising from client or pro bono engagements in teaching, speaking, writing, supervision, professional development or educational settings. Where this occurs, I will protect client and participant identities through anonymisation and the removal or alteration of identifying details, drawing on established professional and academic approaches to confidentiality.

Pro bono and community innovations

Some pro bono and community-based work may provide opportunities to develop, test or refine emerging approaches, frameworks or facilitation methods. Learning from such work may contribute to professional publications, presentations, teaching or other educational activity, provided that participant confidentiality is protected and identifying details are removed or anonymised.

Personal or identifying information will only be disclosed without consent where required by law, where there is a serious risk of harm to an individual or others, or where the client has explicitly requested that information be shared.

Any notes retained will be stored securely and only for as long as reasonably necessary for the delivery and administration of services.

7. Data Protection (GDPR)

Personal data will be processed in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Dr Glenis Wade Coaching & Consulting Privacy Policy.

  • Personal data is stored securely and used only for purposes connected with the delivery and administration of services.
  • No bank or card details are stored by Dr Glenis Wade Coaching & Consulting.
  • Records may be retained for up to seven years where required for legal, financial or tax purposes.

8. Professional Boundaries

Coaching is not therapy, counselling, legal advice or financial advice.

Clients remain responsible for their decisions, actions and outcomes.

8A. Professional Standards and Suitability

Dr Glenis Wade Coaching & Consulting reserves the right to decline, suspend or terminate an engagement where the requested work falls outside professional competence, raises ethical concerns, presents a conflict of interest, or would otherwise be inappropriate to continue. Where possible, alternative support options may be suggested.

9. Intellectual Property

All materials, psychographics, frameworks, reflective tools, learning resources, presentations and written content remain the intellectual property of Dr Glenis Wade Coaching & Consulting or the relevant third-party owner, including Emergenetics where applicable. Clients may use materials for their own development or organisational purposes as agreed, but may not reproduce, distribute or sell them without written permission.

10. Liability

Glenis is not liable for any indirect, consequential or financial loss arising from coaching or team development work. If Glenis must cancel a session due to unforeseen circumstances, an alternative date will be offered.

11. Termination

Either party may terminate the programme with written notice. Fees for completed work remain payable. If the programme is terminated early by the client, no refunds are provided for unused sessions.
